Guidelines for Proctoring Exams

The Library will:

1. With prior arrangement – receive tests for students, provide a librarian to set up the exam situation and sign the appropriate paperwork.    However, it is the student’s responsibility to contact the reference desk to make arrangements and to verify receipt of the test. Tests are normally proctored by the staff member scheduled at the reference desk when the student wishes to take the test. Schools usually require that exams be mailed to a specific person, and we can receive mail that way, but cannot guarantee that a particular staffer will be available to proctor at the student’s convenience.
2. Make the student aware of any specific institutional guidelines (e.g. no notes, no open books, etc.)
3. Provide a study room for test-taking.
4. Send the completed exam back to the institution, but postage must be prepaid by the institution or the student.

The Library cannot:

1. Provide a locked or secure place for the test.
2. Provide a librarian to monitor the test-taking one-on-one.
3. Provide proctoring to groups of students.
4. Fax completed exams, unless they are brief.

The student will:

1. Contact the reference desk to arrange to have an exam proctored, verify receipt of the exam, make an appointment to take the test and reserve a study room for that time.
2. Allow sufficient time to take the test before the deadline established by the institution. The library will hold tests for 30 days or the test’s stated deadline and if the student does not pick up the test by that time it will be returned to the institution.
3. Come prepared with the necessary or required supplies to take the test.
4. Provide postage if the institution does not.
5. Allow sufficient time for normal mailing.

If the student has needs that cannot be met at the Curtis Library, they may wish to contact Merrymeeting Adult Education (729-7323) or Voc Region 10 (729-6623) who have indicated that they can proctor exams.
